    Please read these Terms & Conditions carefully before making a booking at The Rose Suites. By completing a booking through our website (www.rosesuites.be), you confirm that you have read, understood, and agree to these terms on behalf of yourself and all members of your party.

    1. About Us

    Inn Bruges BV offers 6 individually furnished rooms and suites within this single property in Bruges, Belgium. Each room or suite has its own maximum occupancy, as stated in the room description at the time of booking.

    2. Bookings

    2.1 How to Book

    All bookings are made through our website at www.rosesuites.be. A booking is only confirmed once full payment has been received and you have received a written booking confirmation from us by email.

    2.2 Full Payment Required

    Because Inn Bruges BV operates entirely without a reception desk or on-site staff, we are unable to accept payments at the property. Full payment for your stay is therefore required at the time of booking. No payment can be made upon arrival or departure.

    2.3 Booking Confirmation

    After successful payment, you will receive a booking confirmation by email. This confirmation will include:

    • Your booking reference number
    • The dates of your stay
    • The name of your room or suite
    • The total amount paid
    • Instructions for self check-in (access codes will be sent separately closer to your arrival date)

    2.4 Guest Responsibility

    The person making the booking is responsible for ensuring that all guests in the party are aware of and comply with these Terms & Conditions. The lead guest must be at least 18 years of age at the time of booking.

    2.5 Maximum Occupancy

    Each room and suite has a maximum occupancy as stated in its description on our website. This maximum may not be exceeded under any circumstances. If it is found that more guests are staying than declared at the time of booking, Inn Bruges BV reserves the right to terminate the stay without refund.

    3. Pricing & Payment

    All prices shown on our website are in Euros (EUR) and include VAT where applicable. Prices may vary depending on dates and availability. The price displayed at the time of booking is the price you pay.

    Payments are processed securely through Stripe. We accept major credit and debit cards. Inn Bruges BV does not store your payment details.

    4. Self Check-In & Check-Out

    4.1 Self Check-In

    The Rose Suites operates a fully contactless, self check-in system. There is no reception desk and no staff present at the property for check-in or check-out. Prior to your arrival, you will receive the following information by message (email or SMS):

    • The entry code for the building
    • The entry code for your specific room or suite
    • Any additional access instructions

    Please ensure that the contact details you provide at the time of booking are correct, as your access codes will be sent to these details.

    4.2 Check-In Time

    Check-in is available from 15:00 (3:00 PM) onwards on your arrival date. Early check-in may be available upon request but cannot be guaranteed. Please contact us at hello@rosesuites.be to enquire.

    4.3 Check-Out Time

    Check-out must be completed by 11:00 (11:00 AM) on your departure date. Please ensure that you and all members of your party have vacated the room by this time. Late check-out may be available upon request but cannot be guaranteed.

    4.4 Access Codes

    The access codes provided to you are strictly personal and for the exclusive use of the guests named in the booking. You must not share access codes with any third party. Inn Bruges BV reserves the right to change access codes at any time for security reasons.

    5. Cancellation Policy

    5.1 Cancellation by the Guest

    We operate a flexible cancellation policy. The following conditions apply:

    • Cancellations made more than 72 hours before the scheduled check-in time are eligible for a full refund.
    • Cancellations made less than 72 hours before the scheduled check-in time are non-refundable.
    • No-shows (failure to arrive without prior cancellation) are non-refundable.
    • Early departures after check-in has taken place are non-refundable.

    To cancel your booking, please contact us by email at hello@rosesuites.be, stating your booking reference number. The time of your email will be used to determine whether the 72-hour threshold has been met.

    5.2 Refund Processing

    Approved refunds will be returned to the original payment method within 5 to 10 business days, depending on your bank or card provider. Inn Bruges BV is not responsible for any delays caused by your bank.

    5.3 Cancellation by Inn Bruges BV

    In exceptional circumstances beyond our control (such as serious property damage, fire, flood, or other force majeure events), Inn Bruges BV reserves the right to cancel a confirmed booking. In such cases, guests will receive a full refund of all amounts paid. Inn Bruges BV will not be liable for any additional costs incurred by the guest, such as travel or alternative accommodation costs.

    6. House Rules

    By making a booking, you and all members of your party agree to respect the following house rules. Failure to comply may result in termination of your stay without refund.

    6.1 Noise & Neighbours

    • Please be considerate of other guests and neighbours at all times.
    • Quiet hours are between 22:00 (10:00 PM) and 08:00 (8:00 AM).
    • Loud music, parties, and gatherings that disturb other guests or neighbours are strictly prohibited.

    6.2 Smoking

    • Smoking is strictly prohibited inside all rooms, suites, and communal areas of the property.
    • Guests who smoke inside the property will be charged a deep-cleaning fee of a minimum of EUR 150.

    6.3 Pets

    Pets are not permitted inside the property unless explicitly agreed in writing by Inn Bruges BV prior to arrival.

    6.4 Parties & Events

    Parties, events, and gatherings beyond the registered guests of the booking are strictly prohibited.

    6.5 Additional Guests

    • Only the guests declared at the time of booking may stay overnight.
    • Bringing additional overnight guests without prior written approval is prohibited and may result in immediate termination of the stay without refund.

    6.6 Property Care

    • Please treat the property, furniture, and facilities with care.
    • Guests are responsible for any damage caused during their stay beyond normal wear and tear.
    • Please leave the room in a reasonable condition upon departure.

    7. Damage & Liability

    7.1 Guest Liability for Damage

    Guests are responsible for any damage to the property, furnishings, fixtures, or equipment caused during their stay. Inn Bruges BV reserves the right to charge the lead guest for the cost of repair or replacement of any damaged items. We will notify you of any damage charges within 48 hours of your check-out.

    7.2 Limitation of Liability

    Inn Bruges BV shall not be held liable for:

    • Loss, theft, or damage to guests' personal belongings during their stay.
    • Any injury, illness, or accident occurring on the property, except where caused by proven negligence of Inn Bruges BV.
    • Any disruption caused by events outside our control, including but not limited to construction noise, utility outages, or natural events.

    7.3 Personal Belongings

    Guests are advised to keep their personal belongings secure. Inn Bruges BV accepts no responsibility for lost or stolen items. We recommend that guests arrange adequate travel insurance to cover personal belongings.

    8. Access to the Property

    Inn Bruges BV or its authorised representatives reserve the right to access any room or suite in the event of an emergency, for essential maintenance, or if there is reason to believe these Terms & Conditions are being violated. We will always attempt to give reasonable notice where possible, except in the case of emergency.

    9. Wi-Fi & Facilities

    Complimentary Wi-Fi is provided for guests' personal use during their stay. Inn Bruges BV does not guarantee uninterrupted or fault-free internet access. The Wi-Fi connection must not be used for any illegal activity.

    All other facilities described in the room listing are provided in good faith. In the unlikely event that a specific facility is temporarily unavailable, Inn Bruges BV will make reasonable efforts to resolve the issue but cannot guarantee replacement or compensation.

    10. Force Majeure

    Inn Bruges BV shall not be in breach of these Terms & Conditions, nor liable for any delay or failure to perform our obligations, if such delay or failure results from circumstances beyond our reasonable control. This includes, but is not limited to, acts of God, fire, flood, storm, pandemic, governmental restrictions, or civil unrest.

    11. Complaints

    We want every guest to have an excellent stay. If you experience any issue during your stay, please contact us as soon as possible at hello@rosesuites.be so that we have the opportunity to resolve it promptly.

    Complaints raised only after check-out, without having given us the opportunity to address them during the stay, may limit our ability to provide a remedy.

    12. Governing Law

    These Terms & Conditions are governed by and construed in accordance with Belgian law. Any disputes arising from or related to these terms shall be subject to the exclusive jurisdiction of the courts of Bruges, Belgium.

    As a consumer based in the European Union, you may also be entitled to use the EU Online Dispute Resolution platform: ec.europa.eu/consumers/odr

    13. Changes to These Terms

    Inn Bruges BV reserves the right to update these Terms & Conditions at any time. The version in force at the time of your booking will apply to your stay. We recommend reviewing this page before each booking. The "Last updated" date at the top of this document indicates when changes were last made.
